About the Company:

Our client, a trusted consultancy in the infrastructure and construction sector, is looking for a confident and organised Office Coordinator to join their Auckland team for a 12-month maternity cover.

You’ll be the go-to person for keeping the office running smoothly - from greeting visitors and coordinating travel, to managing office operations and supporting events.

About the Role: 

Reporting to the Executive Assistant, this full-time, Monday–Friday role sits front of house and covers all aspects of office coordination. You’ll be the welcoming face of the business while keeping the office running smoothly.

Key Responsibilities:
  • Front-of-house & reception - Welcome visitors, answer and direct calls, manage meeting room bookings, and ensure reception and client-facing spaces are tidy and professional.
  • Office & facilities management - Keep the office, kitchens, and bathrooms stocked and organised, coordinate cleaning and maintenance, manage office supplies (including PPE), and maintain company vehicles’ licensing, WOF, and servicing.
  • Travel & event coordination - Book flights, accommodation, and car rental - maintain travel registers; arrange training sessions (including SiteSafe records); and coordinate internal events, catering, and social activities.
  • Administration & document management - Prepare and format documents, presentations, and reports; schedule meetings; take accurate minutes; process mail; and manage incoming/outgoing deliveries.
  • Financial & systems support - Process and code invoices, expenses, and corporate card spend - maintain administrative manuals and use internal systems.
  • Cross-team support - Provide administrative assistance to HR, marketing, finance, and leadership teams, contribute to health and safety compliance, and undertake ad-hoc projects as required.

About You: 
  • 2–3 years’ experience in similar role in a fast-paced office environment
  • Strong attention to detail and accuracy, with exceptional organisational and multitasking skills
  • Confident, friendly, and able to build rapport with people at all levels
  • Proactive and self-sufficient, comfortable working autonomously while being a team player.
  • Tech-savvy - proficient with Microsoft Office 365 and solid IT skills for basic troubleshooting
  • Holds a full, clean driver’s licence
