About the Opportunity
Our client is a respected professional association representing dentists and dental specialists across New Zealand. Their purpose is to support the dental profession through advocacy, professional development, knowledge sharing, and trusted representation — ultimately helping improve oral health outcomes for communities throughout New Zealand.
With a close-knit team of approximately 10 office-based staff (and 20 staff overall), this is an organisation where people are trusted to take ownership, contribute ideas, and work together to achieve meaningful outcomes.
Reporting directly to the Chief Executive, you will provide trusted executive support within a small, professional organisation. This is a varied role requiring someone who can take ownership, manage competing priorities, and proactively support senior leaders and stakeholders.
Key responsibilities include:
- Provide proactive executive support to the Chief Executive, including diary and inbox management
- Coordinate meetings, travel, events, and organisational initiatives end-to-end
- Prepare agendas, papers, presentations, Board packs, and governance documentation
- Coordinate Board and committee meetings, including professional minute-taking and follow-up
- Build trusted relationships with senior leaders, Board members, stakeholders, and external contacts
- Manage confidential information, records, and documentation with a high level of accuracy and discretion
This is a part-time role working 25-30 hours per week (across 5 days). Some flexibility for occasional evening and weekend work may be required for scheduled meetings and events, along with some nationwide travel too.
What You’ll Bring
You’ll be an experienced EA who is highly organised, commercially aware, and comfortable working with senior stakeholders.
You’ll bring:
- Proven experience supporting a Chief Executive, senior executive, or senior leadership team
- Previous experience supporting Boards, committees, or governance groups
- Strong minute-taking and meeting coordination skills
- Experience with BoardPro would be advantageous
- Exceptional attention to detail and accuracy
- Excellent written and verbal communication skills
- The ability to manage confidential information with discretion
- Strong organisational skills and the ability to juggle competing priorities
- A proactive, self-directed approach and the confidence to work autonomously
