About you:

  • Availability to start ASAP or becoming available soon!
  • MUST have already obtained the right to work in NZ with an arrival date/already residing
  • Previous experience within Reception, Administration, or any office-based roles
  • Attention to detail with excellent written and verbal communication skills
  • Ability to work as part of a team and able to use own initiative
  • Microsoft Office Skills

Office support roles are generally standard business hours Monday to Friday, and located in the CBD or fringe suburbs, with easy access to public transport. We also have positions on the North Shore and in South Auckland, so there is flexibility in finding a role convenient to where you can travel to.

Assignments can be as short as 1 month or up to 6 –12months and everything in between, so if you just need to bridge the gap, or want to settle down in a role with stability, we can help!

Step into the centre of a fast-moving, commercially focused organisation where sound judgement, trusted relationships and their unique culture make a real difference.  You will partner with a well-respected Chief Executive and an energetic, passionate Executive team, while playing a critical role in the quality and rhythm of Board and governance activity. The mandate is established, but it is not fixed. For the right person, there is genuine scope to evolve the role and take executive support and partnership to its next stage. The opportunity We are looking for an experienced Executive Assistant who brings structure, perspective and momentum to a complex senior environment. This is a high-trust role supporting the Chief Executive, Executive team and Board, with Board and committee support forming a significant part of the portfolio. You will create clarity around priorities, keep commitments moving and ensure senior forums are well prepared. Success requires discretion and precision, balanced with pragmatism, strong initiative and the confidence to act without waiting for direction on every detail. Your accountabilities Provide proactive, high-level support to the Chief Executive, including complex diary and priority management, meeting coordination, travel, correspondence and follow-through. Own the end-to-end coordination of Board and committee activity, including calendars, agendas, papers, Board packs, minutes, actions and governance records. Partner with the Chief Executive and Executive team to prepare clear, accurate and timely material for Board, governance and key business meetings. Build effective working relationships with Board members, senior leaders and external stakeholders, coordinating communication, meetings and logistics with professionalism and sound judgement. What you will bring You will be an accomplished Executive Assistant who is credible at senior level and understands that effective support has more depth than administration alone. You anticipate what is needed, distinguish the important from the urgent and take ownership through to completion.Proven experience supporting a Chief Executive, senior executive or Executive team in a complex environment.Comprehensive Board, committee or governance support experience, including the preparation and coordination of papers, packs, agendas, minutes and actions.Excellent organisation and attention to detail, with the ability to reset priorities calmly as circumstances change.Sound judgement, discretion and clear communication, with confidence engaging across senior and external stakeholder groups.A pragmatic, self-directed approach and the initiative to resolve issues, improve processes and know when to seek input.Confidence using technology and learning new systems. Experience with Diligent or another governance platform would be useful, but is not essential.
